Member Private Functions

On-site Function Meeting Space

WSIA member firms may request private meeting space for their use during Annual Marketplace at the Manchester Grand Hyatt or Marriott Marquis San Diego by completing the Meeting Space Request Form and returning it via email to Vicky Fleming, [email protected]. Forms will be available on August 4 at 10:00 a.m. CT.

Meeting Space Request Form

  • WSIA has control of all meeting space and outlet usage at both Annual Marketplace hotels. WSIA has the right to cancel any function booked at the Marketplace hotels without prior approval by a WSIA staff member. 
  • Forms will not be processed until you are registered for Annual Marketplace. 
  • See the sliding scale for allocating meeting space on the Meeting Space Request Form. Space is allocated by the number of attendees that are registered per firm. Space allocations apply only to space allocated for day meetings.
  • WSIA reserves the right to place meeting rooms at the Manchester Grand Hyatt or Marriott Marquis San Diego and may not be able to fulfill all requests for space.

On-site meeting space is available at the hotels during the following times:

  • Tuesday, November 16
    After 4:00 p.m. for evening receptions and dinners
  • Wednesday, November 17
    7:30 a.m. – 4:30 p.m. for meetings; after 6:00 p.m. for evening receptions and dinners
  • Thursday, November 18
    7:30 a.m. – 4:30 p.m. for meetings; after 6:00 p.m. for evening receptions and dinners
  • Friday, November 19
    7:30 a.m. – Noon for meetings 

Off-site Functions

WSIA must be informed of all off-site functions via the Off-Site Function Form.


Luncheons may be held off-site, but other off-site functions are only allowed during the following times:

  • Tuesday, November 16 - All day
  • Wednesday, November 17 - After 6:00 p.m.
  • Thursday, November 18 - After 7:30 p.m.

Policies and Procedures for Private Functions

Private functions must be conducted according to the policies listed below. 

  1. WSIA encourages all member firms with private meeting space to consider and communicate guidelines or safety protocols for meetings held in event spaces. WSIA will not be responsible for assisting in the administration of such guidelines.
  2. The cost of the meeting room is based on your set-up needs and food and beverage order. A $250 service fee per meeting room per day is due with confirmed hotel agreement.
  3. Meeting space cannot be held on a 24-hour basis.
  4. Meeting space will be located in a secure area. It will be necessary for all employees, planners and guests to be registered for Marketplace in order to gain access to your private meeting room prior to 5:30 p.m. No exceptions will be made.
  5. Day meeting space is available from 7:30 a.m. - 4:30 p.m. on Wednesday, Thursday and 7:30 a.m. - Noon on Friday.
  6. Evening meeting space is available after 6:00 p.m. on Wednesday and after 5:30 p.m. on Tuesday and Thursday for receptions and dinners.
  7. No functions or transportation to functions may conflict with the Opening Reception on Wednesday, November 17 from 4:00 - 6:00 p.m. 
  8. Signage is limited to directly outside meeting rooms only.
